The UK General Data Protection Regulation (UK GDPR) is a UK law which came into effect on 1st January 2021 and this privacy notice fulfils requirements and outlines how we collect, use, share and store your personal information.

Why are you processing my personal information?

  • Department for Infrastructure are currently preparing a new transport plan which will set the framework for making transport policy and investment decisions up until 2035. The Eastern Transport Plan (ETP) 2035, previously known as the Belfast Metropolitan Transport Plan (BMTP), covers five council areas and will also support the preparation of the Local Development Plans for these councils. DfI Transport Planning & Modelling Unit processes your information to develop and to make informed decisions in relation to the development of the ETP.
  • We are seeking views on the ETP Vision and Objectives through a public engagement survey.
  • The legal basis for collecting personal data is the Planning Act (Northern Ireland) 2011, part 1, section 1(4) which states that the Department may undertake, or cause to be undertaken, such surveys or studies as it may consider necessary, including surveys or studies relating to any of the following matters - 
    (a) the physical, economic, social and environmental characteristics of any area, including the purposes for which land is used; 
    (b) the size, composition and distribution of the population of an area; (c) the communications, transport system and traffic of an area;
    (d) any changes in relation to the matters mentioned in paragraphs (a) to (c) and the effect which the changes are likely to have on the development of Northern Ireland or any part of Northern Ireland or the planning of that development.

Your Data:

  • The Department is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy notice.

We collect your personal data as part of the engagement survey process:

  • for statistical data, for example the types and locations of individuals and organisations participating
  • to inform the development of the Eastern Transport Plan across the five council areas of Antrim and Newtownabbey Borough Council (ANBC); Ards and North Down Borough Council (ANDBC); Belfast City Council (BCC); Lisburn and Castlereagh City Council (LCCC); and Mid and East Antrim Borough Council (MEABC)
  • so that we can distribute ETP information and a paper-based survey should this format be requested via the engagement freephone number.

For information you submit online via the Consultation Hub:

  • the Department for Infrastructure is the data controller.
  • The Department of Finance, operating as Citizen Space, is the data processor. Citizen Space provides and operates the platform for online responses, and their privacy policy explains how they collect, safeguard and process your data on behalf of the Department.

What categories of data are we processing?

The information we may collect as part of our engagement includes:

  • Name (your name will not be collected if you are responding as an individual)
  • Email address (only if provided)
  • Postcode
  • Sex
  • Age Grouping
  • Limiting Illness
  • Any personal data you volunteer by way of evidence or example in your response to the engagement survey.

Where do you get my personal data from?

If you respond online, we will also collect:

  • your Internet Protocol (IP) address, and details of which version of web browser you used
  • information on how you used the site, provided by cookies and page tagging techniques

We will process your personal data lawfully under Article 6 (1) (e) of the UK General Data Protection Regulation. Article 6 (1) (e) relates to the lawful processing of personal data necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the data controller.

The personal information you provide such as gender, age range and geographical location will be used to provide the Department with a better understanding of the responses to the engagement.

Do you share my personal data with anyone else?

  • The information that you provide will be securely stored and used solely for response purposes and providing Plan updates where appropriate. This information will be accessible to DfI Transport Planning & Modelling Unit, DfI Statisticians and its appointed consultants. We do not make personal details available to other companies for marketing purposes.

Do you transfer my personal data to other countries?

  • No.

How long do you keep my personal data?

  • Personal information will be disposed of in line with our Retention and Disposal Schedule
  • All postcode data will be aggregated and deleted within a 6 week period of the survey end.

What rights do I have?

  • You have the right to obtain confirmation that your data is being processed.
  • You have the right to access to your personal data.
  • You are entitled to have personal data rectified if it is inaccurate or incomplete.
  • You have the right to object to the processing of your information.
